The Program Manager is responsible for the planning, organizing and delivery of programs and events of the Elk Rapids Area Chamber of Commerce. This includes the management of existing programs and development of new programs and events that align with the mission of the Elk Rapids Area Chamber of Commerce. The Program Manager is currently a part-time position ranging from 20 hours a week, with additional hours required in conjunction with significant events. The Program Manager works under the direction of the Executive Director.
Primary Responsibilities:
- Plan, organize and deliver Chamber events including, but not limited to, networking events, professional development programs, ribbon cuttings, annual Membership dinner, weekly Farmers Market (May to October) and summer Arts & Crafts Shows and Evenings on River Street events.
- Coordination of programs through various stages of event management including program design, development of timelines, event details, execution, and post event follow-up.
- Develop and distribute event information and application forms to interested parties and vendors.
- Setup and manage events in ChamberMaster (CRM tool) to facilitate organization and billing.
- Create and distribute information and marketing materials to advertise Chamber programs and events; Assist in maintaining the Chamber’s website, Chamber Event Calendar and social media platforms to promote programs and events.
- Coordinate and oversee summer seasonal support and event volunteers, including assistance with recruiting, training and volunteer recognition.
- Ensure post event follow-up, communication (vendor, business, sponsor) and reporting.
- Conduct regular evaluations of events and recommend additions or enhancements to improve programs.
- Assist with the operations of the Visitor Center including office management, member support, and provide tourist assistance (directions, information, maps, etc.)
- Two- or four-year undergraduate degree or relevant experience and training.
- Previous experience coordinating community or business programs or event management.
- Proven ability to handle multiple projects/events at one time and manage priorities.
- Extremely organized, efficient, detail oriented and successful at meeting deadlines.
- Ability to work independently and demonstrate reliability with respect to attendance and follow-up.
- Ability to facilitate discussion and build consensus among different stakeholder groups.
- Ability to communicate clearly and effectively via phone, email, etc.
- Proficiency in Microsoft Office Suite (particularly Word and Excel); experience with CRM tools and/or design software (ie: Constant Contact, Canva) a plus.
- Experience with website editing and social media (Facebook, Instagram)
- Ability to work some evenings and weekends during planned events.
- Transportation and ability to drive to local event locations.
- Physical requirements – ability to perform assigned duties which may include sitting, standing or walking for extended periods of time, moving tables and chairs and lifting heavy or cumbersome object.
