Position description
FUNCTION
To solicit new rental business, communicate with customers and community members, and coordinate events held at the Historic Elk Rapids Town Hall.
REPORTS TO
The Executive Committee of HERTHA, with regular updates provided to the Board of Directors.
EDUCATION/EXPERIENCE
18 years of age or older
High school graduate or equivalent
Experience in event coordination and/or customer service strongly preferred but not required
POSITION RESPONSIBILITIES
Preliminary
-Promote the rental of the Town Hall for customer events
-Follow up on rental leads, respond to all rental inquiries regarding the facility, and be available to show the Hall to prospective customers as needed
-Work with the HERTHA Board to establish rental rates and formalize event rental processes and procedures
-Schedule events, execute contracts with responsible parties, maintain events calendar, and serve as the primary point of contact for information about use of the building
-Collect and provide contract information for deposits and/or payments to the Treasurer
During Events
-Provide renters access to the Hall for each scheduled event
-Monitor events remotely as necessary to assess compliance with house usage rules for designated rentals
-Secure the Hall following each rental
Follow-Up
-Coordinate as needed for building cleaning and procurement of supplies
-Communicate information regarding release of security deposit or rental fee refunds
-Solicit feedback from rental customers and communicate to the Board any comments regarding their experience renting the Hall
Miscellaneous
-Use Google Workspace apps (GMail, Drive, Docs, Sheets, Calendar) for communication, solicitation, records storage, and accounting
-Use approved payment processing software (PayPal, Square)
-Basic use and maintenance of the HERTHA website, Google business listing, and social media accounts
-Seek and secure sponsorship agreements for HERTHA events
-Create and maintain a list of preferred vendors
-Foster an ongoing relationship with the Elk Rapids Chamber of Commerce and DDA
-Lead engagement with local Elk Rapids community on behalf of HERTHA, including the development of a community engagement plan
-Work with HERTHA board to set new event business/rental targets and develop an implementation strategy
SALARY/COMPENSATION
This is a part-time independent contractor position. Compensation and time commitment to be negotiated and approved by the HERTHA Board.
